This Privacy Policy ("Policy") describes how Vertex Labs, Inc. ("Vertex Labs," "we," "our," "us") collects, uses, and discloses certain personal information from users of the Verial platform ("you" or "your") obtained through our websites ("Site"), located at verial.ai (and all affiliated websites), as well as through our software platform (the "Platform") and related services (collectively, the "Services"). By using our Services, you are agreeing to the terms of this Policy. Your use of the Services is also subject to our Terms of Service.

What information we collect

We collect personal and other information from you directly when you provide it to us. We may also automatically collect certain information about you and your device when you use, access, or interact with our Services.

Account information.

If you sign up to use our Platform, we may collect the following categories of information:

  • Username and password (that you create)
  • Organization name
  • Contact information (such as name, email, and phone number)
  • Job title and role
  • Billing and payment information

Platform usage data.

When you use the Platform, we collect information about how you interact with it, including sandbox environments you create, API calls you make, test configurations, and usage patterns.

Customer data.

The Services allow you to create sandbox environments, configure test scenarios, and run workflows. We process the data you provide to operate these services, including environment configurations, test parameters, and results. We do not store or process real protected health information (PHI) in the sandbox environments. All patient data within sandbox environments is synthetic.

Browser extension data.

Our Chrome extension ("Verial Portal Recorder") captures web page content during user-initiated recording sessions. When you start a recording, the extension collects page screenshots, DOM structure, accessibility trees, CSS styles, network requests and responses, and a screen recording of the active tab. This data is uploaded to your authenticated Verial organization for portal simulation building. The extension only captures data while recording is active. No data is collected in the background or when recording is stopped. You may also choose to save recordings locally instead of uploading them.

Web log data.

When you use the Services, we automatically receive and record certain information from your computer or device and browser. This may include your IP address, the pages you visit, the date and time of your visit, your browser type, your general geographic location, and certain cookie information.

Cookies.

We use cookies on the Services to maintain session security, remember preferences, and measure usage. If you are concerned about cookies, you can set your browser to refuse all cookies or to indicate when a cookie is being set. However, certain features of the Services may not operate correctly without cookies.

Aggregated and de-identified information.

We may collect and disclose aggregated or de-identified information about Service users, such as usage trends. Such information will not identify you personally.

How we use your information

We may use the information we collect to:

  • Provide, operate, and maintain the Services;
  • Process your transactions and manage your account;
  • Respond to your questions or support requests;
  • Send you information about the Services, including updates and security notices;
  • Improve the quality and reliability of the Services;
  • Analyze how visitors use the Services;
  • Comply with legal and regulatory requirements;
  • Aggregate and de-identify information for benchmarking and research; and
  • Manage our business.

We do not sell personal information. We do not use customer data for advertising purposes.

With whom we share your information

Service providers.

We use third-party service providers that perform services on our behalf, including cloud hosting, analytics, payment processing, and customer support. These providers may access your information only to perform services for us.

With your organization.

If you use the Platform through an organization account, we may share usage information with the organization administrator.

Legal purposes.

We may disclose your information:

  • To comply with applicable law, court order, or legal process;
  • To investigate or prevent illegal activities, fraud, or violations of our terms;
  • To establish, protect, or exercise our legal rights; or
  • In connection with a merger, acquisition, or sale of assets.

With your consent.

We may also disclose your information with your permission.

Your choices

If you want to learn more about the personal information that we have about you, or you would like to update, delete, or change that information, please contact us at privacy@verial.ai.

You may opt out of receiving marketing emails by following the instructions in those emails. You will continue to receive administrative messages from us.

Data security

We employ physical, technical, and administrative procedures to safeguard the personal information we collect. This includes encryption in transit and at rest, access controls, and security monitoring. However, no system is 100% secure, and we cannot guarantee the absolute security of your information.

Data retention

We retain personal information for the duration of your account and as necessary to fulfill the purposes for which it was collected, or as required by law. When we no longer need your information, we delete or de-identify it.

International users

Information we collect may be transferred to and processed in the United States. By using the Services, you consent to such transfer and processing.

Children

The Services are designed for business use and are not directed at children under the age of 18. We do not knowingly collect information from children under 13.

Changes to this policy

We may update this Policy from time to time. For material changes, we will provide notice via email or through the Services. Your continued use of the Services after changes take effect constitutes acceptance of the updated Policy.
